Senior Business Operation Specialist
Typical Accountabilities:
Event Management & Strategy Support
• Major Event Execution: Lead the logistics, vendor management, and execution for organization-wide events, including Town Halls, leadership workshops, offsite gatherings, and scientific seminars.
• Strategy Implementation Support: Provide administrative and analytical support to the Senior Manager in monitoring strategic projects. Assist in preparing reports and data to capture scientific achievements and deliverables.
• PMO Support: Provide logistical support to the Project Management Office (PMO), ensuring initiatives are aligned with the department's strategic goals
Strategic Communications & External Engagement
• Government & VIP Reception: Act as a key point of contact for logistical and operational support during government visits and high-level external receptions, ensuring professional and smooth engagement.
• Content Creation: Draft and polish high-quality communication materials in both English and Chinese for internal and external engagements (e.g., news releases, presentations, and leadership messaging).
• AI & Innovation Adoption: Maintain an open mindset towards emerging technologies; proactively learn and utilize Artificial Intelligence (AI) tools and other innovative digital solutions to maximize personal productivity and drive continuous improvement in daily operations.
Business Operations & Policy Management
• Internal Policy Operations: Manage and operationalize DO (DevOps) internal policies, ensuring guidelines are clear, compliant, and effectively communicated to the team.
• SOPs & Process Improvement: Assist in the development and maintenance of Standard Operating Procedures (SOPs), workflows, and job descriptions to bolster productivity and operational excellence.
• Operational Efficiency: Utilize digital tools (e.g., Office 365, SharePoint, Excel) to streamline daily operations and serve as a primary point of contact for internal operational queries.
Education, Qualifications, Skills and Experience:
• Education: Bachelor’s Degree or above in Healthcare,
Business, Life Sciences, or Communications related fields.
• Experience: At least 4 years of professional experience in
consulting, healthcare/pharmacy industry, or corporate
communications.
• Language Skills: Excellent written and verbal
communication skills in English and Chinese are mandatory.
Must be capable of drafting external publicity materials and
handling international/government liaison contexts.
• Operational Skills: Proven track record in event
management, administrative organization, and handling
complex logistics.
• Digital Proficiency: Proficiency in Microsoft Office 365 Suite
(SharePoint, PPT, Excel, Teams).
• Soft Skills: Strong cross-functional communication skills,
ability to work in a fast-paced environment, and a proactive
mindset to assist leadership
