  • Assistant:

Secretarial work to Site GM

  • GM’s calendar and itinerary management
  • Travel arrangement including visa and logistics preparation
  • AZ Visitors’ reception and coordination including invitation letter, meeting arrangement and logistics, etc.
  • Expense report in Concur
  • Cooperation and communication with function heads
  • GM’s communications
  • GM's car management
  • Other tasks assigned by GM

Meeting arrangement

  • Organize monthly leadership meeting, quarterly extended leadership meeting, and GM and direct reports’ meeting, prepare meeting materials, take meeting minutes and track actions.
  • Support GM on AsiaPac meetings and global meetings like facilitating video conference, preparing meeting slides.

Report

  • Consolidation, finalization and keeping update of report, site KPIs, scorecard, etc.
  • Materials preparation for report to AsiaPac and above.

Internal Communications: (When she or he is on board, our current site GM can work with her or him for the yellow parts as well.)

Conference and events organization

  • All staff meeting
  • Annual business review and planning workshop
  • Other Site-level events and activities like annual party, milestone celebration
  • AsiaPac business review forum organization and coordination
  • AZ Senior leaders’ visit arrangements
  • Cooperate with vendor if needed to make events/activities well organized with good quality including the whole rundown, graphic designs, video making, etc.

Communication channels management

  • GM monthly message
  • AZTZ newspaper quarterly issue
  • Intranet
  • Site plasma and board
  • Other communication platform and activity

Deployment of AZ values, cultures and strategies at site Cooperation with global communication colleagues and China commercial PR team

  • Government Affairs:

Keep the company license updated Coordination of officials’ visit request Communication and coordination between local government and the company relevant departments
